My story:

I immigrated to Montreal at the age of 19 from Rwanda. I worked in Montreal for 2-3 years and then came to Vancouver in 1997 out of fear that Quebec was going to separate. Then I worked for a big software company. Very quickly I realized I didn’t’ enjoy working for a company 100 people. I am not a routine person. I can’t work 80 hours a week. I knew I wanted to be with small businesses. I was looking for a connection with people. And so I went independent and NEVER looked back.

Problem: Starting to take on bigger projects that require more upfront capital. Not managing cash flow or understanding his numbers so he could manage his cash flow and new contracts.

Story:

My client is the owner of a custom metal fabrication company in BC. I coached the owner for a period of 12 weeks. The owner is very organized and has years of experience in the corporate world. The company has been going through steady growth for the last couple of years. The owner was concerned about his financial situation. The company has started to take on large projects that required cash up front. It has accumulated substantial credit card debts that were spiraling out of control.

The owner has specific goals for the company that he wanted to achieve; $10M in annual revenue. He is in charge of the finances of the company and sales and marketing. He came to me to find out why he did not have money in the bank.

As part of my one-time white glove set up fee, I reviewed my client's financial information and systems and we looked at how all this information was and is being recorded in their accounting system. After that, we took a look at prices, costs, and margins to better determine the best strategy and reassess whether we are charging enough. Thirdly, cash flow forecasting. Aka figuring out what his cash position will look like in the coming weeks, months, and years.

At the end of our setup, we set up some financials and operational key performance indicators to help stay on track. Then we got set up on a $850/month maintenance package to help maintain my clients focus and understanding of his business and of course his numbers.

Story:

Pricing model. This client was charging for his services per hour. We did a session where we reviewed the cost structure, direct cost vs overhead costs. During this exercise, we realized taht the hourly rate did not reflect the total cost (ie overhead). It was missing. I also found out that my client was not keeping track nor monitoring time in. We found out a LOT of time was being wasted when his employees would show up to a construction site and were not able to complete the installation because the site was not ready or in some cases, the drawings were also not ready. By keeping track of the extra hours spent on the project due to these errors my client was able to go back to the client and request a change order to reflect the additional time that was needed to complete the project. Immediately increasing his bottom line. In addition, my client was able to immediately improve the processes to eliminate inefficiencies on his shops floor.

Cash flow is number one stressor for small business owners. We created a cash flow forecast. The cashflow forecasting prompted different questions that we may not have asked otherwise. The granular questioning helped us create a deeper level of knowledge of where the money was going. We reviewed the cash gap between when the money came in and when the money went out. The shorter the better. Throughout this exercise the owner was able to understand how important the cash is for the business, and the difference between cash and profit.

Lastly, together we determine some key performance indicators that he can monitor on a monthly basis to ensure that he kept track of the different areas of the business. We had determined some KPI that related to Cash, revenue and profitability and efficiencies.
